At Helena Foot Health, we are dedicated to providing high-quality podiatric care tailored to your individual needs. We offer a full range of treatments to help keep your feet healthy and pain-free.

Helena Foot Health practitioners can assess, diagnose and treat an array of foot and lower limb conditions.

To ensure we provide you and our other valued patients with the best possible care it is important that you understand our terms and conditions.

General Business Terms and Conditions

Services

We provide a comprehensive range of foot care treatments, including:

  • Foot and Nail Maintenance
  • Ingrown Nail Care
  • Fungal Infection Care
  • Verruca/Wart Care
  • Corn Care
  • Callus/Hard Skin Care
  • Diabetic Foot Care
  • Neurovascular Assessments
  • Wound Care

If you are unsure which treatment is right for you, we will assess your feet and recommend an appropriate treatment plan.

Treatments will be explained by the practitioner, and will be suggested in line with your clinical needs. If you have any questions, doubts, or concerns, please raise these as soon as possible, preferably before treatment commences. 

We will always ask for your consent before we start a treatment. Confirmation of consent can be verbal (for example, saying ‘Yes, let’s do that’) or physical (for example, offering the foot for treatment). You may withdraw your consent at any time during your appointment and treatment. If this happens the full service price will still be payable.

Should the situation arise where a condition is outside of the practitioner’s scope of practice or knowledge base, a referral may be suggested to seek additional specialist assistance. This referral shall be discussed with and consented to by the patient and either made on behalf of the patient or the patient can self-refer.

Practitioners

While at Helena Foot Health, you will be under the care of a foot health practitioner. Foot health practitioners at Helena Foot Health maintain their own professional indemnity and negligence insurances.

Risk of Clinical Complications

Helena Foot Health practitioners will ensure that they do their best to provide a satisfactory outcome. No clinical procedure is entirely risk free and the results of any treatment cannot be fully guaranteed. If you have any concerns or queries about the treatments that we offer, you should discuss these with your practitioner.

Some foot health treatments require the use of sharp instruments, including scalpels, nippers, metal files, drills. Whilst every effort is taken to ensure that no harm is caused during treatment, sometimes a cut can occur and cause a bleed. We will always advise you if this occurs, manage appropriately, and provide aftercare advice.

The practitioner may offer aftercare advice. It is the patient’s choice/responsibility to follow the advice given by the practitioner. The practitioner will not be held responsible if a patient does not follow the advice given (entirely or inadequately).

Safety & Infection Control

We adhere to strict safety and infection control procedures to protect both our patients and staff.

You must inform the clinic if you have any symptoms of illness, or have been exposed to any communicable diseases before your appointment.

Appointment Terms and Conditions

Appointments

Appointments are to be booked in advance and are subject to availability. Appointment bookings can be made online, via Whatsapp, via email, via phone call, or via text message.

All patients are asked to arrive on time for their appointment. We will do our absolute best to not keep you waiting also.

If you arrive later than 10 minutes for your scheduled appointment you may be refused treatment if there is not sufficient time to carry out a treatment and asked to reschedule your appointment.

In the event you fail to attend appointments habitually, Helena Foot Health reserves the right to ask you to pre-pay for appointments, and deny treatment if you refuse to settle payment for any treatment beforehand.

Medical History & Information

All patients will be asked to complete a ‘New Patient Form’ prior to your first visit. This will include questions about your personal details, GP details, medical history, and foot conditions. You will also be asked to agree to these terms and conditions. 

You must provide complete and accurate information. Withholding information may affect your treatment plan and outcomes.

Whilst you are our patient, you must notify us as soon as possible if there are any changes to the following. Not doing so may affect our service (for example, we may not be able to contact you, may send your details to the incorrect GP practice, or be unable to provide treatments and advice based on the correct clinical needs in mind).

  • Personal details (including name, date of birth, address, contact information, etc)
  • GP details (including name, address, contact information, etc)
  • Medical history and Foot condition information (including past and present conditions, medications, suspected diagnoses, etc)
  • Any other relevant changes

Consent to Photographs & Videos

Pictures and video recordings can be an important part of your clinical records.

Your choice of consent, or refusal to give consent will not affect your treatment within Helena Foot Health in any way.

Photographs and videos are uploaded to our secure practice management software system and stored for future reference. 

Photographs/ images will not be used for the purpose of social media or training purposes without your consent.

Appointments for Under 16’s

Children under the age of 16 must be accompanied by a parent or guardian during appointments, who is able to consent to the child’s treatment.

Cancellations & Rescheduling

If you wish to cancel or reschedule your appointment, we ask you to give at least 24 hours’ notice. (Although, we are aware that from time-to-time circumstances dictate that an appointment will be missed, or less than 24 hours’ notice will be given). 

If you arrive late for your appointment, we may be able to see you for the remaining period of your allotted appointment slot, but your full appointment fee will stand.

Helena Foot Health reserves the right to cancel appointments at short notice in circumstances beyond our control, such as practitioner ill health, hospitalisation, accidents, or extreme weather conditions. If we need to make any change in the services or how they are provided, we will inform you as soon as possible. We will use reasonable endeavour to keep any such changes to a minimum.

Pricing & Payments Terms and Conditions

Pricing

Our pricing is in line with regional and local pricing offered within the private foot health sector. We aim to be transparent about all costs and fees, displaying our most up to date treatment fees online, and discussing any product prices before completing 

Prices charged shall be in line with current prices advertised online or as quoted to you at the time of your booking. 

Pricing may alter without notice. However, previously quoted and agreed prices will be upheld.

Payment

All patient payments for services are to be made immediately following your appointment.

Payments can be received via debit card, credit card, or cash.

Receipts and/or invoices for payment will be issued at your request.

Products purchased in the clinic must be checked for any damages or defects upon receipt before leaving the clinic.

It is the responsibility of the patient to check their health insurance or health plan coverage for any treatment or procedures prior to booking an appointment. It is also the patient’s responsibility to pay for treatments at the time of the appointment, and submit all necessary information to their health insurance or health plan company.

Refunds

All services provided by the clinic are non-refundable, and once payment is made, we will assume you are happy with your treatment. 

If you have any concerns about a treatment you paid for, please email helena.foothealth@gmail.com and we will take reasonable steps to resolve your concerns.

For products purchased in the clinic, all sales are final. Products cannot be returned for a refund, unless the product is defective or at the clinician’s discretion.

Please note that we will only refund the cardholder or person who paid the original payment, and this will be done via the original payment method.

We aim to be polite, helpful, and sensitive to all individual needs and circumstances. 

Aggressive behaviour, be it violent or abusive, will not be tolerated and may result in you being removed from our patient list and the Police being contacted.

Out of Clinic Condition & Treatment Information

The contents of Helena Foot Health’s booking website, leaflets, and social media may display general information about conditions and treatments. This information is provided for information purposes only, and must not be used as a guide for self-diagnosis or self-treatment. 

Helena Foot Health does not accept any responsibility if the information displayed is used in a way other than as general information.

How Do We Protect Your Data?

Your information is stored securely and is only accessed by authorised personnel. 

We operate in line with GDPR regulations, and The Information’s Commission Office (ICO).

Your data is stored securely and digitally for a minimum of 7 years (or at least until the date of your 25th birthday if your last appointment was attended whilst you were under 18).

If you require a copy of your medical record, please email helena.foothealth@gmail.com and our business has 30 days in order to provide your subject access request (SAR).

We respect the confidentiality of all patients. Any personal information or circumstances that are provided to us by you will be regarded as confidential and subject to the terms of our privacy policy. 

We will only disclose relevant information if we are given your expressed consent, if it is required by law, or in the event of an emergency where details are requested by emergency workers.

In interest to the privacy policy adhered to by practitioners, we also request that patients keep confidential information or knowledge that you acquire during your visits to the clinic, including the identity of other patients that you may meet in the reception area.
